AI Vaccine Reader

Certificates read for your clients, with you approving every record.

The AI Vaccine Reader saves you and your clients from retyping vet paperwork. Upload a photo or PDF of the certificate, and Goodstay reads it and fills in the vaccines and dates. You still approve everything clients send, and you can correct anything first.

How It Works

When a client uploads a certificate from the customer portal, a PreCheck, or a welcome packet, Goodstay reads it within a few seconds:

  1. The client uploads one certificate. A phone photo or a PDF both work.
  2. Goodstay fills in what it finds. One certificate usually lists several shots, so the client gets a row for each vaccine, with the date given and the expiry date already filled in.
  3. The client checks it and sends it. They can fix anything that's wrong and untick a vaccine they don't want to send.
  4. You approve it. Each vaccine lands in your Vaccine Reviews queue as its own record, just like any other upload.

On a PreCheck or a welcome packet, where there's one row per missing vaccine, one certificate fills in every row it covers, so the client doesn't upload the same file again and again.

If a certificate can't be read, nothing breaks. The client sees a short note, their file stays attached, and they fill in the details by hand.

Adding a Certificate Yourself

When a client hands you paperwork or emails it over, open the pet's profile and choose Add Vaccine. This works whether or not you allow owner uploads.

  1. Upload the certificate at the top of the form.
  2. Check the rows. You get one row per vaccine. Fix anything that's wrong and untick anything you don't want. A vaccine already on file with the same date starts unticked, so you don't add it twice.
  3. Choose Add to File. Each vaccine goes straight onto the pet's file with its own copy of the certificate. There's no review step, because you're the one checking it.

To enter a record by hand instead, just skip the upload. Editing an existing record doesn't use the reader.

Reviewing a Record the Reader Filled In

Records the reader filled in carry a Read by AI badge on the review page, with notes to show you where to look:

  • The certificate was hard to read here. The reader wasn't sure about a value, such as a handwritten date. Check it against the document.
  • The certificate calls this… The certificate used a different name from yours, such as Kennel Cough for Bordetella.
  • The owner changed the date. The client changed what the reader found, and the note shows what the certificate says.

You can correct the vaccine, dates, and vet right on the review page before you approve. Your corrections go onto the pet's file. Nothing counts toward a vaccine requirement until you approve it.

Turning It Off

The reader is on by default and included on every plan. To turn it off, go to Facility Settings → Vaccine Requirements, find the Owner Uploads card, and untick Read uploaded certificates with AI. You and your clients then fill in the details by hand, as you did before.

Clients can only use the reader when owner uploads are switched on. See Owner-Uploaded Vaccination Records.

Your Clients' Privacy

Certificates are sent to Anthropic, our AI provider, to be read. They aren't used to train AI models, and Goodstay doesn't sell them or share them for any other purpose.
