Feeding, Medication & Report Cards

Manage per-stay feeding instructions, medications, recurring care tasks, and daily report cards.

Feeding Schedules

Feeding Schedules let you record detailed, per-meal feeding instructions for a pet during their stay. These are linked to specific reservations.

Adding a Feeding Schedule

  1. Open a reservation's detail page.
  2. In the Feeding Schedules card, click Add.
  3. Fill in:

Food Type Brand and type of food (e.g., "Royal Canin Adult Small")
Amount How much to feed (e.g., "1 cup")
Frequency Once daily, Twice daily, Three times daily, Free feed, or Custom
Special Instructions Any additional notes (e.g., "mix with a splash of water")
  1. Save. Add one schedule per distinct feeding instruction.

Managing Feeding Schedules

Feeding schedules appear on the reservation's detail page where staff can reference them during each meal. They can be edited or deleted if instructions change during the stay.


Medication Schedules

Medication Schedules track any medications a pet needs during their stay, including dosage, timing, and instructions.

Adding a Medication Schedule

  1. Open a reservation's detail page.
  2. In the Medications card, click Add.
  3. Fill in:

Frequency How often (e.g., "Twice daily", "Every 8 hours")

Prescribing Vet Who prescribed it
Administration Notes E.g., "Give with food", "Apply to back of neck"
  1. Save. Multiple medications can be added per reservation.

Care Tasks

Care Tasks track the recurring day-to-day chores between meals and meds — potty breaks, walks, baths, playtime, or anything custom — for boarding stays. Staff check them off on the Daily Tasks board alongside feeding and medication, per dog and per time of day (Morning, Midday, Evening, Night).

There are two kinds:

  • Facility defaults — recurring tasks that apply automatically to every checked-in boarding dog (e.g., a potty break every morning, midday, and evening). Set these up once from the Daily Tasks page via the Recurring Tasks link (where you Manage recurring tasks defaults for the whole facility) — see Daily Tasks, Shifts & Staff.
  • Just for this stay — extras added to one individual reservation.

Managing a Stay's Care Tasks

Open a boarding reservation and find the Care Tasks card (just below Medications):

  • Facility defaults are listed with a Skip / Include toggle. Skip a default the dog doesn't need — skipped tasks are dimmed, tagged "(skipped)", and left off the daily board and door card for that dog. Click Include to re-enable one.
  • Under Just for this stay, use the add form to create a per-stay task: pick a task type (custom tasks need a name), tick one or more Times of day, choose Which days, and click Add Task. Click Remove to delete one.

Which Days

A per-stay task doesn't have to happen every day. The Which days picker offers three choices:

  • Every day — the task appears on the board every day of the stay (the default, and how facility defaults always behave).
  • These days — tick one or more calendar days of the stay. One Stuffed Kong on day two, a walk on Tuesday and Thursday, a playtime session every other day.
  • Last day — the check-out day, whatever it turns out to be. Set a going-home bath here and it moves with the stay if the dates change.

Each task's row shows its days ("Every day", "Sep 17", "Last day (Sep 19)"), and on the Daily Tasks board a card scheduled onto a particular day reads Scheduled today or Last day so staff know why it wasn't there yesterday.

Putting an Add-on on the Board

An add-on service — a Stuffed Kong, an extra walk, a nail trim — is a billed line, but by itself it never appears on the Daily Tasks board. On a boarding stay's Add-on Services card, each requested or confirmed add-on offers Schedule on daily tasks: click it and the Care Tasks form is pre-filled with the add-on's name and set to These days, so you pick the day(s) and times and click Add Task. The add-on line then shows where it landed ("On the board: Sep 17 (Evening)"), the task is badged Add-on, and the board card reads Add-on · Scheduled today. Add-ons an owner requested from the Customer Portal work the same way — schedule them when you review the request. Cancelling or removing the add-on takes its board task with it.

Care tasks apply to boarding stays only — daycare and grooming visits don't get them. Each dog's door card lists their care tasks and times of day, and the add form disappears once the stay is checked out or cancelled.


Report Cards

Report Cards are daily updates sent to pet owners to let them know how their pet is doing. They support text notes, an activity level rating, and up to 4 photos.

Creating a Report Card

  1. Go to Report Cards → New Report Card (or start one from a dog's card on the Daycare Roster).
  2. The form is a day sheet in three sections — Who & when, Their day, and Photos:

Pet Type-to-search — start typing and pick the pet (pre-filled when you start from the roster)
Stay Optional — link the card to one of the pet's recent stays (confirmed or checked-in stays from the last 30 days)
Report Date Today's date by default
Notes Written narrative about the pet's day. Quick-template chips sit right under the field — click one to insert its pre-written phrase; a "N more…" toggle reveals the rest of your template list.
Activity Level 1 (Sleepy) → 5 (Super Energetic)
Behavior Notes Anything behavioral worth recording
Photos Upload up to 4 photos (JPEG, PNG, WebP, HEIC/HEIF; max 10 MB each)
  1. Click Create Report Card.

Sending a Report Card

Click Send to Owner on the report card's page. The owner receives an email with the report card content and any attached photos.

Browsing Report Cards

The Report Cards page lists 12 cards per page (each tile shows its photos), newest first, with page navigation underneath. Filtering by a pet or a reservation carries across pages, and switching filters starts you back at page 1.

Batch Sending Report Cards

From the Daycare Roster, click Send All (N) to dispatch every unsent report card for that day in one action. This is efficient at the end of a busy daycare day.

Customizing Report Card Templates

Report card note templates (the quick-template chips) can be customized per facility:

  1. Go to Settings → Daycare and find the Note Templates card.
  2. Edit the list — one phrase per line. (Reset to defaults restores the built-in set.)
  3. Click Save.
