Vaccinations & Compliance

Set vaccine requirements, track records, and enforce compliance at booking.

Vaccine Requirements

Go to Facility Settings → Vaccine Requirements to configure which vaccines are required for each species:

  • Dogs default: Rabies, DHLPP, Bordetella
  • Cats default: Rabies, FVRCP

You can add, remove, or customize the required vaccines for each species.

Adding a Vaccination Record

  1. Open a Pet's profile.
  2. Click Add Vaccination.
  3. Select the vaccine type from the dropdown (pulled from your requirements, or add a custom name).
  4. Enter the administered date and expiration date.
  5. Optionally upload a proof document (PDF, image, etc.).
  6. Click Save.

Vaccination Compliance Alerts

  • Green badge — All required vaccines are current
  • Yellow badge — One or more vaccines expire within 30 days
  • Red badge — One or more vaccines are expired or missing

When creating a reservation, Goodstay checks vaccine compliance for the pet being booked. If vaccines are missing or expired, a warning is shown. Owners or managers can override the check if needed (e.g., the owner is bringing proof at drop-off).

Vaccination Alerts Dashboard

Go to Vaccination Alerts in the navigation to see a consolidated list of all pets with expiring or expired vaccines across your facility. Each alert shows the pet name, species, vaccine name, and expiration date. This helps you proactively reach out to clients before their pets' next visit.

You can bulk dismiss alerts that have been addressed (e.g., owner provided updated proof) by selecting multiple alerts and clicking Dismiss Selected.

Vaccination Alerts at Booking

When a reservation is created for a pet with expired or missing vaccines, Goodstay can automatically send a vaccination alert notification to the pet owner. This gives them advance notice to get their pet vaccinated before check-in. These alerts are sent via email (and SMS, if enabled). See Notifications & Emails for configuration details.

Automated vaccination reminder emails are also sent at 60 and 30 days before expiration. See Notifications & Emails for details.

Importing Vaccination Records

If you have vaccination records in a spreadsheet or from another system, you can bulk-import them using the Data Import tool.

  1. Go to Data Import → New Import.
  2. Select Vaccinations as the import type.
  3. Upload your CSV or Excel file with columns for pet name/ID, vaccine name, date administered, and expiration date.
  4. Map your columns and run the import.

This is especially useful during initial setup when migrating from another kennel management system.
