Boarding Roster
The Boarding Roster is a daily summary view showing every pet currently boarding at your facility. Go to Boarding Roster in the sidebar navigation.
What the Roster Shows
The roster is organized into three sections:
- Arrivals — Reservations with a check-in date matching the selected day (pending or confirmed)
- Current Boarders — All checked-in pets staying through the selected day. Each row shows the pet name, owner, species, assigned space, check-in/check-out dates, and care notes (feeding schedules, medications).
- Departures — Checked-in pets with a check-out date matching the selected day
A stats bar at the top shows counts for current boarders, arrivals, departures, and your boarding capacity utilization.
Date Navigation
Use the left/right arrows or the date link to view any day's roster. The default view is today. You can also use the Jump to Date picker to navigate directly to a specific date.
PDF Download
Click the Download PDF button to generate a printable PDF of the boarding roster for the current date. The PDF includes your facility name, date, stats summary, and all three sections (arrivals, current boarders, departures) in a clean landscape format. Downloads as boarding-roster-YYYY-MM-DD.pdf.
Printing the Roster
Click the Print button to generate a print-optimized version with your facility name, date, and all three sections formatted for paper. Many facilities print this daily and post it in the kennel area for quick reference.
Door Cards (Batch)
Click the Door Cards button on the Boarding Roster to generate a printable PDF with one door card per page for every dog currently in-house on the selected date. Print the batch, then clip a card to each kennel door so anyone walking by has that dog's key details at a glance.
Each door card includes:
- The dog — name and species
- Owner and emergency contact — so you know who to reach and who to call in an emergency
- Stay window — check-in and check-out dates
- Feeding — the dog's feeding schedule
- Medications — any medications and dosing notes
- Add-ons — extras booked for the stay
- Alerts box — a highlighted box for allergies, medical, and behavioral alerts so critical warnings stand out
Tip: Run the Door Cards batch each morning after check-ins so the cards on the doors always reflect who's actually in-house.
Printing a Single Door Card
You don't have to print the whole batch. You can also print a single door card directly from an individual reservation's page — handy when one dog checks in mid-day or details change. See Reservations for details.
Daily Tasks
Daily Tasks is a checklist system for routine operational tasks (e.g., "Clean all runs by 9 AM", "Administer medications", "Send afternoon report cards").
Completing a Task
- Go to Daily Tasks in the navigation.
- You'll see today's task checklist.
- Click the checkbox next to a task to mark it complete. Your name and the timestamp are recorded.
- Click the checkbox again to uncheck it if marked by mistake.
Each task completion is logged with the staff member's name and the time it was completed. This creates an accountability trail for management.
Shift Reports
Shift Reports allow staff to log their work period — noting what happened during their shift — and give management a clear record of daily operations.
Starting a Shift Report
- Go to Shift Reports → New Shift Report.
- Fill in:
- Shift Date
- Start Time
- End Time
- General Notes — What happened during the shift (incidents, observations, tasks completed)
- Incident Notes — Any incidents involving pets or staff
- Handover Notes — Important info for the next shift
- Click Save. The report is In Progress until marked complete.
Completing a Shift Report
Click Complete Shift Report from the report's detail page. The report is timestamped and locked.
Viewing Shift History
From Shift Reports, all shift reports are listed chronologically. Filter by date or staff member to review specific periods.
Staff Management
Goodstay supports multiple staff members at each facility, each with their own login and role.
Staff Roles

Inviting a Staff Member
- Go to Staff in the navigation.
- Click Invite Staff Member.
- Enter the staff member's email address and select their role.
- Click Send Invitation.
The staff member receives an invitation email with a link to set up their account. The link is valid for 7 days.
Pending Invitations
Sent invitations that haven't been accepted yet are shown as Pending in the Staff list. You can Revoke a pending invitation if needed.
Removing a Staff Member
From the Staff list, click the Remove button next to a staff member's name. They immediately lose access to your facility. Their historical actions remain in the Activity Log.
Changing a Staff Member's Role
Click Edit next to a staff member's entry to update their role.
Activity Log
The Activity Log is an automatic record of significant actions taken by any staff member in your facility.
Viewing the Activity Log
Go to Activity Log in the navigation. You'll see a chronological list of events, each showing:
- What happened — A description of the action (e.g., "Reservation #123 confirmed by Jane Doe")
- Who did it — The staff member responsible
- When — Date and time
Jumping to the Record
Activity log entries now link straight to the record they describe — both here and in the dashboard's recent-activity feed. A pet name in a check-in or no-show entry opens the reservation; an invoice number opens the invoice; a space name opens the space. Entries without a linkable record (or whose record was since deleted) simply show as plain text. This makes the log a fast jumping-off point for following up on something you spot.
Filtering the Log
Use the filters to narrow by date range or staff member to quickly find specific events.
